Trademark Paralegal (London, Hybrid)

Novagraaf is looking for a Trademark Paralegal to complement our dynamic, close-knit, and impressively collaborative team in London.

Role and responsibilities

Your main responsibilities will be to support the attorneys in the management of client portfolios and be aware of and undertake all the formalities required to successfully manage trademark portfolios in the UK, Europe, and overseas, including:

  • Creating, auditing, and updating records on our IP management system
  • Maintenance of files and document management system
  • Regular liaison with clients, fee earners, and other members of the firm
  • Checking local offices' online registers and monitoring updates
  • Helping with the day-to-day running of docketing work and processes
  • Running due-date reports for fee earners
  • Preparing standard letters and draft letters
  • Preparing IPO forms including those requiring fee earner input
  • Responding to clients, IPO, and foreign associate queries that do not require fee earner input or responding in conjunction with fee earner input where appropriate
  • Drafting update reports for clients in conjunction with the fee earner
  • Handling recordal work
  • Opening and scanning post and reporting it to the relevant members of staff
  • Billing of cases and monitoring outstanding costs

Requirements

You ideally have at least 3 years of experience in the field of IP or any combination of education, professional experience, and training that provides the following knowledge, skills, and abilities:

  • Good understanding of UK Trademark law and processes 
  • CITMA qualification would be a real plus
  • Detail-oriented, organised, thorough, accurate, and able to work quickly and steadily in a focused manner
  • Previous work experience in fast-paced office setting
  • Ability to handle multiple demands and handle delays or interruptions while maintaining accuracy and timeliness
  • Ability to learn rapidly and adapt to quickly changing situations
  • Demonstrated initiative, persistence, ability to problem solve, and enthusiasm for learning
  • Effective communication among team members
  • Excellent written and oral communication skills
  • Proficient in Microsoft Office
  • Highly motivated and willing to take initiative and complete assignments
  • Fluent in English - an additional second language would be a plus
